Job Description
Office Manager Job Summary We are seeking a proactive and organized Office Manager to oversee daily operations at our US location. In this pivotal role, you will coordinate service activities, manage office and warehouse operations, support sales and customer engagement, and ensure compliance with industry and legal standards. Your leadership will help us deliver exceptional maritime solutions while maintaining efficient internal processes and fostering a positive work environment. Office Manager Responsibilities Coordinate scheduling and deployment of field service personnel and external resources across North America and globally, ensuring timely and efficient service delivery. Manage all job-related activities, including cost estimation, securing purchase orders, confirming job details, and tracking progress. Maintain strong communication with customers and field engineers to meet expectations and resolve inquiries or escalations. Oversee post-service documentation for billing and records, including timesheets, expense reports, and service reports. Serve as the primary liaison between field engineers, internal teams, and customers, providing updates and support as needed. Support sales activities by engaging with customers, managing registrations, and responding to inquiries. Oversee warehouse operations and coordinate logistics for tools and equipment. Manage local HR functions, including onboarding, offboarding, leave management, and liaising with external HR advisors. Ensure compliance with US employment laws, safety standards, and internal policies, supporting QHSE initiatives. Collaborate on financial activities, including budgeting, invoicing, and maintaining adherence to tax and VAT requirements. Assist in administrative and office management tasks to ensure a productive and compliant work environment. Office Manager Position Requirements Proven experience in office management, operations, or service coordination, preferably within technical, engineering, or maritime contexts. Excellent organizational, multitasking, and communication skills. Ability to liaise effectively with internal teams, external vendors, and clients. Strong understanding of basic financial and administrative procedures. Proficiency with Microsoft Office Suite and relevant CRM or management tools.
