Office Tax Administrator

We provide tax, accounting, and financial consulting services to individuals, businesses, and fiduciaries, with a mission to deliver high-quality service and build long-term client relationships. We are seeking an Office Tax Administrator to manage client files, support communication, and ensure efficient, deadline-driven operations in our fast-paced CPA firm. Client & Tax File Management Organize and maintain client tax files across individual, business, fiduciary, and corporate accounts. Track key filing deadlines, extensions, and estimated tax payments. Request, collect, and scan client documents into firm systems (SmartVault, OfficeTools, etc.). Communicate with clients regarding missing or pending documents. Tax Return & Document Processing Input tax data into preparation software (Lacerte/ProSeries/UltraTax). Assemble client tax return packages for review and signature. Prepare and track e-file authorization forms. Monitor e-file transmissions and resolve rejections as needed. Administrative Support Coordinate schedules and communication between CPAs, tax managers, and clients. Maintain workflow tracking of all returns in progress. Process and log incoming IRS/state tax notices. Assist partners and tax managers with billing support and invoice follow-up. Compliance & Recordkeeping Ensure documents meet IRS, FTB, and state filing requirements. Maintain accurate records of all filed returns, payments, and notices. Prepare standard compliance letters and forms (e.g., IRS Form 2848 POA). Company Description We have a special niche in our industry. We specialized in Estate and Trust.
