Job Description

Job Purpose The Medical Receptionist will be the first point of contact for patients and visitors, ensuring a welcoming and professional experience. This role involves managing front-desk duties, scheduling appointments, handling patient records, and supporting the smooth running of the medical practice. Key Responsibilities Greet patients and visitors in a professional, friendly manner. Manage patient check-ins and check-outs. Answer and direct phone calls; handle inquiries and messages. Schedule, confirm, and update patient appointments. Maintain accurate patient information and records in the system. Collect co-payments or fees and issue receipts. Assist patients with completing necessary forms and documentation. Handle incoming correspondence, mail, and deliveries. Ensure reception and waiting area are clean, organized, and welcoming. Liaise with medical staff to coordinate patient flow efficiently. Maintain confidentiality in line with medical and legal requirements (POPIA compliance). Qualifications & Experience Grade 12 (Matric) essential. Certificate/Diploma in Office Administration, Medical Reception, or related field (advantageous). Previous experience in a medical or healthcare reception role preferred. Knowledge of medical terminology and basic understanding of healthcare processes. Computer literacy (MS Office, medical practice software such as Medemass, Healthbridge, Elixir, or similar). Skills & Competencies Strong interpersonal and communication skills. Excellent telephone etiquette and customer service. Ability to multitask in a fast-paced environment. High level of accuracy and attention to detail. Professional appearance and demeanor. Time management and organizational skills.
