Basic Requirements: Formal Tertiary education: Grade 12 Administrative Qualification or similar Tertiary Qualification in Engineering (advantageous) Experience: Min. 2 years administrative and technical experience within a project management environment (Engineering field) Excellent working knowledge of MS Office Interpretation of mechanical drawings (advantageous) Strong technical background (advantageous) PA Experience (advantageous) Languages: English Read, write and speak (required) Afrikaans Read, write and speak (optional) German (advantageous) Drivers Licence: Code 8 (required) Job Objectives: The PM Administrator reports directly to the HOD of Projects, with a key focus on the Office Workflow and procedures, to ensure the department operates as effectively as possible while adhering to the JMK QMS. This is done by maintaining and monitoring the operations and requirements of day-to-day task and assisting the Project management team with administrative tasks. Coordinate and support the development of new procedures and initiatives in the Projects department. Coordinate and support the development off the JMK ISO 9001 system in the Projects department Support the development of a learning culture that promotes the on-going development of staff and collaboration with team members. Main Tasks and Responsibilities: Create and Maintain Project folders. Manage customer related documentation. Prepare Project documentation for handovers. Assist with timing schedules. Maintain and presenting Weekly Reports to HODs & Directors. Following up on project statuses on JMS. Read and understand technical literature. Maintain and support ISO documentation and procedures as well as facilitate. internal Departmental Audits. Capture and maintain Department processes and workflows. Assisting the Project Team with administration responsibilities. Keeping stock of inventory and supplies ordered. Handling of timesheets, overtime and leave forms. Assist with project budgets and expenditure. Schedule & facilitate Invoice meeting, Maintain Invoice milestones. Approve Payment Milestones on JMS & inform Finance once actioned. Perform follow-ups on invoicing dates and report to Finance. Good housekeeping. Maintain department consumables.
