Job Description Job Description About Us: Pacific Pain is a multidisciplinary pain management clinic focused on delivering high-quality care to patients dealing with chronic and acute pain. We work closely with attorneys, chiropractic offices, and primary care providers to manage personal injury and insurance-based cases. Our fast-paced and collaborative environment is committed to delivering an exceptional experience for patients and referral sources alike. Position Summary: We are seeking a dependable and detail-oriented Medical Case Coordinator to be the direct, in-office point of contact for our referral sources and patients. This role bridges communication between providers, attorneys, and patients, ensuring timely updates, accurate case coordination, and a smooth experience for everyone involved. The ideal candidate has hospitality or high-end customer service experience combined with strong administrative skills. They are comfortable managing sensitive information, following up proactively with providers, and ensuring that referral partners always have a clear line of communication to our office. This is a full-time, in-office position (not remote). Key Responsibilities: Referral Source Relationship Management: Act as the primary in-office contact for referral sources such as chiropractors, physicians, and attorneys. Respond quickly to inquiries, provide updates, and maintain professional relationships. Patient Support & Scheduling: Deliver a warm, welcoming experience for patients, managing intake, scheduling, and follow-ups for both PI and insurance cases. Inbound Call Handling: Answer incoming calls from patients and referral partners, ensuring all questions and requests are addressed promptly. Communication Coordination: Ensure providers and referral partners receive timely updates on their referred patients, including appointment scheduling, treatment progress, and case status. Administrative Support: Assist the Director of Operations and General Manager with case coordination, documentation intake, and internal follow-up tasks. Case Documentation: Accurately log all communications and updates in the EMR, confirm liens (for PI), and ensure appropriate handling for insurance-covered patients. Internal Team Collaboration: Work closely with the in office and remote teams to ensure all cases are managed efficiently and consistently. Requirements: 1–2 years of experience in personal injury, medical administration, legal case coordination, or hospitality/customer service Strong interpersonal skills with the ability to build and maintain professional relationships Exceptional communication skills — both in-person and over the phone — with a polished, professional demeanor Highly organized and detail-oriented with the ability to manage multiple priorities Comfortable handling sensitive patient and legal information Proficiency with EMR systems and office tools (e.g., Practice Fusion, Google Workspace, Microsoft Office) Preferred Qualifications: Familiarity with lien-based care and PI workflows Experience with insurance verification or medical documentation Bilingual (Spanish preferred, not required) Prior experience in a medical office, PI law firm, or high-volume hospitality environment Compensation & Benefits: Hourly Rate: Starting at $21/hour, DOE (Depending on Experience) Paid time off and holidays Health insurance options Opportunities for growth and professional development Supportive and collaborative office culture To Apply: Please submit your resume and a brief cover letter highlighting your experience working directly with clients, patients, and/or referral partners and your ability to provide a seamless, professional service experience.
