Job Description
KEY RESPONSIBILITIES Payroll Administration (Full Payroll Function): Maintains payroll information by collecting, calculating, and entering data onto the clocking system. (ERS Biometrics). Collate, capture and process data for monthly payroll (which includes timesheets, leave forms, new appointments, transfers, terminations, overtime). Ensure that all relevant payroll processing is loaded onto the payroll system. Ensure overtime and trip sheets are submitted by managers/ supervisors in terms of the correct procedures and approvals. Update payroll records by entering changes, deductions, and job title and department/division transfers. Ensure existing permanent employees transfers, promotions and terminations are accurately and timeously processed on payroll system. Advise management of leave shortfalls and/or leave that must be taken. Process all new start employees, promotions, transfers and termination documentation. Ensure union membership information updated and accurately reflected on system. Ensure updates and personnel changes are received timeously and systems are set-up and updated to reflect change of status details. Review and ensure accuracy of approved timesheets and overtime payments. Track and deduct all garnishees and other special payroll deductions. Ensure all labour hours are correctly booked and match hours to company policy. Handle all payroll related queries. Maintain employee confidence and protect payroll operations by keeping information confidential. Maintain employee files through efficient record keeping and filing. Reconciliation of payroll for net salary payment run. Collate, capture and process Employment Equity, Skills Development and IR data monthly on the payroll system. Distribute payslips. Assisting with SARS audits for EMP201 & EMP501. Employee Relations: Responsible for job confirmation, both telephonic and written. Liaise with both current and ex-employees with regards to UI.19, Maternity Policies, Department of Labour queries and/or benefits queries. Complete UI19 forms, update UIF profile to agree with UI-19 forms, certificates of service, salary schedules and any other queries which may arise. Liaise with all parties to ensure that all legislation is adhere to. Including communication with current and ex-employees. Maintain monthly salary queries, including reporting back on it. Ensuring that queries are dealt with timeously and accurately. Partner with junior employees and supervisors on all HR processes and policies. Reports: Monthly reconciliations of all third parties and statutory payments Prepare and submit all reconciliations to required third parties and internal finance records. Adhere to all payment deadlines for net salaries, third party payments and d ahoc queries. IRP 5 reconciliations, bi-annually and annually and submissions to SARS. Informational structure: Induction for non-management staff with HR when a new employee starts. Attend HR related meetings and take minutes. Keeping up to date with all statutory, legislation and company laws to ensure accuracy on payroll. Temp Labor: Recruitment and selection Weekly Payroll HR administrative processes Temp labour control REQUIREMENTS Advanced working knowledge of Sage 300 (advantageous) Grade 12 Payroll diploma/certificate Minimum three years payroll (Wage and salary) experience Solid knowledge of payroll principles, processes and procedures Detailed knowledge of statutory requirements i.e. PAYE, UIF, SDL, COIDA Good understanding of and working knowledge of all the appropriate Acts (LRA, BCEA, OSHA, COID, EEA) Computer literate with strong MSOffice skills Own transport Excellent communication skills (written & verbal) PERSON PROFILE, SKILLS & ATTITUDE Able to build and maintain strong working relationships Highly organised with strong administration skills Accuracy and attention to detail Displays a concern for business values and ethical standards Places a focus on promoting a healthy and positive workplace culture High sense of confidentiality Passion for achieving excellence Sets high personal standards, is focused and self-motivated Benefits: Group Risk & Pension fund Only shortlisted candidates will be contacted
