Job Description Job Description CABVI is seeking a Rehabilitation Service Patient Access and Outreach Manager to Develop, plan, manage and execute all activities and initiatives related to securing referrals for services. Manage and direct the Rehabilitation patient access process from referral acceptance to intake completion and start of service. Ensure the highest levels of customer service is maintained Network and build relationships with medical practices and other organizations. Develop a robust business plan including actions and activities in the service region to achieve referral and profitability targets. Manage the entire rehab territory consisting of medical groups across various markets. Manage Rehab Department Assistants who are on the front lines of patient access. Identify new opportunities to increase referrals and improve quality of care. Responsibilities Include: Establish quality on-going relationships with medical practices and other organizations that serve individuals that could be referred to us for service. This would include ophthalmologists, optometrists, other medical practices, health care organizations, the NYSCB and others. Use the skills of persuasion to encourage referrals. Monitor referrals from receipt of and documentation of the referral to the intake process and start of services. Ensure that the referral form and intake process flow efficiently. That the highest level of customer service is maintained. Ensure that the intake document and TICR entries support outcomes for grants, funding streams, outreach and development, linking referrals to program enrollment. Manage front end staff and ensure ample coverage. Schedule staff to assist with department events. Ensure appt cancellations are minimized, confidentiality guidelines are followed, and a high level of support is provided to the Rehab Team. Work closely with the Rehab Billing Coordinator to ensure staff obtain the correct consumer insurance information, and copies of insurance cards are made. Monitor collection of co-pays. Understand Macola operations and inventory and ensure entries are done correctly and accurately. Conduct presentations: develop, organize, plan, manage and conduct educational events such as tours, open houses, health fairs, continuing education programs and more. Regularly attend industry events, trainings, meetings, access webinars and other educational workshops. Identify areas for growth and continue to expand our referral sources, regularly contacting newly established medical practices or groups. Listen to the needs of the aforementioned groups and work with rehab staff to institute new practices or procedures to strengthen relations. Develop a strong sales plan. Develop “sales” strategies. Work with PR to develop a strong marketing plan. Monitor competition, gather marketplace information and leverage existing programs and events To engage potential new referral sources. Manage the entire service territory discovering opportunities for expansion. ·Collect data. Achieve department outreach goals and objectives. Ensure full rehab program enrollment. Keep detailed records of all contacts. Compile quarterly contact reports. Manage budgets for outreach events. Work with PR to ensure a consistent marketing message. In partnership with PR design develop written sales materials, create social media and plan Rehabilitation evets and programs that will enhance "sales”. Maintain a high knowledge of all agency services and programs. Continually upgrade knowledge and alter selling approaches as rehab services expand and the market changes. Service customers and provide feedback to rehab staff to optimize customer relations. Listen to customer needs and concerns. Work with rehabs staff to institute corrective measures as needed. Participate in cross selling, whenever the opportunity arises to also include Central Industry products and services. Engage with our business services division and product sales to provide businesses with an introduction to other CABVI departments, share leads and customers. Secure potential leads from CI as well. Work with Central Industries to connect our manufacturing, warehousing, and services divisions to our mission through the hosting of customer educational programs and tours. Requirements Include: Regular and frequent weekly travel required. Associate’s degree in business, communications or marketing required, Bachelors preferred. Minimum of three years’ experience in sales, health care or vision services required. Experience or degree in public relations is helpful. Supervisory experience required. Must have expertise with databases, spreadsheets, and word processing. Must be able to design simple flyers and minimal marketing materials. Must be skillful in presenting information and responding to questions from a wide variety of constituencies.
