Job Description Job Description We’re looking for a sharp, resourceful, and fast-moving Marketing Administrative Coordinator to support our growing marketing team. This is a hands-on, high-energy role for someone who thrives under pressure, adapts quickly, and excels at staying organized while juggling multiple projects. You'll be instrumental in supporting marketing operations, conducting research, analyzing performance, managing timelines, and helping bring high-impact events to life. Key Responsibilities: Marketing & Operations Support Assist in the planning and execution of promotions and content initiatives. Conduct market research on competitors, audience trends, and marketing opportunities. Maintain internal documentation, project timelines, and asset libraries. Compile performance data from paid media, email, web, and social channels to support reporting and decision-making. Event Planning & Coordination Support logistics for brand activations, pop-ups, trade shows, and event sponsorships. Coordinate with vendors, venues, and internal teams to ensure smooth event execution. Prepare event materials and kits and help with inventory tracking and on-site needs. Manage timelines, checklists, and follow-up communications before and after events. Project Management Own and track multiple concurrent marketing tasks and initiatives. Assist in creating project briefs, timelines, and deliverables with internal and external stakeholders. Proactively identify potential roadblocks, ensure deadlines are met, and keep stakeholders updated on progress. Help ensure tasks are completed on time and aligned with overall marketing goals. Administrative & Cross-Functional Tasks Manage meeting scheduling, note-taking, and follow-ups for marketing leadership. Track invoices, budgets, and approvals for campaign and event-related expenses. Communicate cross-functionally with creative, product, and sales teams to keep projects moving. What You Bring: 1-3 years of experience in a marketing, admin, or project coordinator role (agency or in-house). Strong research and analytical skills —you’re fast, resourceful, and comfortable making data-informed recommendations. Event planning experience —you’ve helped coordinate or supported events, and you’re not afraid to roll up your sleeves. Project management mindset —you’re organized, proactive, and able to manage multiple priorities under tight deadlines. Strong communication, multitasking, and time management skills. Bonus Points If You Have: Familiarity with tools like Canva, Meta Ads Manager, Google Analytics, or HubSpot. A passion for fast-moving brands, events, and building strong cross-functional relationships.
