SHN Orthodontics is looking for a Scheduling Coordinator to join our warm and welcoming team in Mission Viejo! This is more than just a front desk role – you’ll be the first smile our patients see and the calm, organized center of our busy office. Who You Are: A natural multitasker who thrives in a fast-paced environment An excellent communicator, both on the phone and in person Tech-savvy with the ability to learn software (like Dolphin and Podium) Detail-oriented and proactive about keeping the schedule flowing Passionate about patient care and team collaboration What You’ll Do: - Patient-Facing Responsibilities: Answer phones and warmly greet every patient upon arrival Schedule, confirm, and follow up on appointments Handle patient messages, emergencies, and no-shows Check patients in and out efficiently Maintain accurate notes and records in our software - Financial Duties: Process payments for visits, starts, and retainers Add and update credit card information securely - Administrative & Office Operations: Keep the schedule running smoothly and make adjustments as needed Monitor and respond to emails and voicemail messages Maintain front office organization and cleanliness Assist with patient records, forms, and new patient paperwork Help with recall systems and special tasks like thank-you notes, inventory, and training coordination Qualifications: Previous dental or orthodontic front office experience is highly preferred Strong computer and scheduling software skills (Dolphin experience is a plus!)
