Job Description
Job Title: Part-time Guest Liaison and Office Administrator Location: Parkmore, Sandton Working Hours: 5 hours per day, Monday to Friday (ideally 10:00am 3:00pm UK time), 25 hours per week Overview: We are looking for a highly organised, friendly, and detail-oriented individual to join our team as a Guest Liaison and Office Administrator . This part-time role plays a crucial part in ensuring smooth day-to-day operations while maintaining excellent communication with our guests. The successful candidate will be a proactive multitasker who thrives in a busy environment, is comfortable working under pressure, and is committed to delivering outstanding customer service and efficient office support. Key Responsibilities: Guest Liaison Respond to telephone and email enquiries promptly and professionally Manage all general guest communication and support Update the booking system and master spreadsheet as bookings come in Ensure third-party platform bookings (Canopy & Stars, Virgin Experience Days, etc.) are accurately reflected Coordinate activity/massage bookings with guests and suppliers, and monitor related payments Prepare group booking sheets and liaise with group leaders, ensuring the Site Manager is informed of all requirements Supplier & Site Coordination Monitor linen delivery and returns Manage refuse collection scheduling Source competitive utility contracts for the glampsite and farm Coordinate seasonal setup and shutdown procedures Submit TENS applications and liaise with engineers for maintenance needs Finance & Bookkeeping Forward invoices to the bookkeeper and maintain accurate records Update tracking spreadsheets for Pantry/Activities/Massages Follow up on failed SumUp transactions and overdue guest payments Manage damage deposits and coordinate with the Site Manager for any withholdings or refunds Keep the refund tracking document current Website Maintenance Monthly updates to Things to Do, Eating Out, and Events pages Refresh website imagery to reflect the current season Update homepage messaging as needed Purchasing Purchase supplies for the glampsite, farm, and on-site shop Source and order maintenance equipment as required Diary Management Schedule site visits and guest appointments in the Directors diary Software & Digital Transition Lead implementation of new booking software launching Autumn 2025 Oversee the transition of financial processes into QuickBooks Research and help implement digital farm management systems, assisting with data migration Working Pattern & Availability Glampsite closed from early November to end of March; preference for time off to be taken during this period Preferably available to work UK bank holidays during operational season (MarchOctober), but not essential Skills & Experience Required: Proven ability to work well under pressure while managing multiple tasks and deadlines Strong organisational skills with a meticulous eye for detail Excellent communication and interpersonal skills both written and verbal Experience with databases, spreadsheets, and office systems Proficiency in Microsoft Excel, Word, and Publisher Hospitality or customer-facing experience is highly desirable A process-driven mindset with a focus on improving and streamlining systems, especially in administration, bookings, and purchasing Self-motivated and proactive with the ability to work independently and manage time effectively If youre someone who thrives in a fast-paced, varied role, enjoys working with people, and takes pride in running an organised and efficient operation, wed love to hear from you.
