Job Description
Position: Office Coordinator Location: Downtown Toronto (onsite)Salary: Competitive and based on experienceJob Type: Temporary to Permanent Our client, a leading global organization is looking for an Office Coordinator to join their downtown Toronto team! Our client fosters an inclusive, collaborative culture and offers dynamic opportunities to contribute to world-class projects in a supportive corporate environment.Key Responsibilities:- Oversee office supplies, equipment procurement, and vendor relationships; track inventory and place orders as needed.- Prepare workstations and new hire packages in coordination with HR and IT.- Maintain and update seating plans and floor layouts; coordinate office moves and temporary seating assignments.- Liaise with building management regarding maintenance, HVAC, lighting, cleaning requests, and security arrangements.- Arrange after-hours access, freight elevator bookings, and vendor escorts for maintenance activities.- Maintain inventory and respond to general office inquiries.- Lead small projects to support office improvements and coordinate team assistance with moves or equipment removal.- Provide administrative assistance to the Office Services team, including scheduling, minute-taking, database upkeep, and file management (hard and digital copies).- Help organize, chair, and document committee meetings.- Support planning and delivery of social events, including purchasing supplies and coordinating services.- Oversee charity collections and donations.- Provide reception and mailroom coverage as needed.- Assist with meeting setup, cleanup, and vendor escorts.- Actively participate in committees (Social, Joint Health and Safety, Get Green, Fire Safety).- Perform other duties as assigned.Qualifications:- 3 years of office coordination experience within a corporate environment. - Completion of post secondary education. - Able to work on site 5 days/week.- Service oriented, flexible, organized and professional. - Tech savvy and strong interpersonal skills. - Excellent written and verbal communication skills.
