Job Description
Key Responsibilities Administrative & Operational Support Prepare driver documentation including stop schedules, load releases, and relevant paperwork. Scan and upload driver documentation to the debriefing system. Maintain and update driver files, medicals, Hazchem, and DGP records. Update both hard and soft copy files regularly. Maintain the Training Matrix and assist with scheduling training sessions. Process driver leave and ensure sufficient driver coverage. Driver & Fleet Management Oversee and manage daily driver and assistant activities. Conduct driver briefings and handovers for late trips. Maintain discipline among drivers, including issuing warnings and preparing disciplinary cases. Track driver hours, overtime, and night-out allowances. Ensure timely renewal of driver inductions and safeload certifications. Assist in planning and scheduling to optimize fleet utilization. Coordinate with mechanics regarding truck servicing, breakdowns, and defect resolution. Customer Service & Communication Liaise with customers regarding deliveries, satisfaction checks, and urgent dispatches. Respond to driver and customer queries promptly, including after-hours support. Provide feedback to clients and sales representatives based on tracker and shift reports. Safety, Compliance & Reporting Assist with HSSE functions under the guidance of the Safety Manager. Conduct and document weekly Toolbox Talks. Perform vehicle and PPE spot checks, issue PPE as required. Monitor and report on daily speeding and tracking activities. Capture and investigate all incidents, near misses, and accidents using the Quality Management system. Ensure all permits (e.g. harbour, fire) are up to date and assist in renewals. Other Duties Manage truck loading requirements including safeloads, Hazchem, DGP, and medical clearances. Monitor tracker systems and provide shift changeover feedback. Retrieve tracker footage when required. Participate in alternating standby and weekend shift rotations as per the roster. Qualifications Matric (Grade 12) Experience Preferably a newly acquired diploma in Logistics or related field. Ability to work under pressure and meet tight deadlines. Knowledge & Skills Advanced proficiency in Microsoft Office applications (especially Excel). Computer literacy is essential. Excellent written and verbal communication skills. Ability to think on your feet and solve problems effectively. Strong time management and multitasking skills. Goal-driven and self-directed with no tolerance for time-wasting. Collaborative team player who can also work independently. Willingness to go the extra mile, even beyond assigned duties. Attributes Honest, loyal, reliable, and trustworthy. Positive, "can-do" attitude and proactive mindset. Strong interpersonal skills; able to interact with people at all organizational levels. Hands-on, operationally focused, and detail-oriented.
