Inventory and Operations Coordinator Location: Huntington, NY Full-Time | On-Site Salary range: $50k-$65k based on experience level Benefits: Matched 401k plan, PTO, Health Insurance Reimbursement We are a fast-growing, Italian fine jewelry company looking for a reliable and detail-oriented Inventory and Operations Coordinator to join our small team. This role is central to keeping our daily operations running smoothly—from tracking consignment sales and payments to managing inventory, repairs, shipping, and more. What You’ll Be Responsible For: Inventory Control Maintain accurate records of inventory, conduct routine inventory audits and resolve discrepancies across in-house and consignment channels Track movement of merchandise between locations, vendors, and clients Day-to-Day Operations Support internal operational workflows and implement process improvements Collaborate with sales and customer service teams to fulfill inventory and repair requests Maintain organization and cleanliness of stock and workspaces Oversee stock levels of office supplies, packaging, certificates, etc. Shipping & Receiving Handle all incoming and outgoing shipments, ensuring security and accuracy Prepare packing slips, labels, and documentation for domestic and international shipping Ensure proper handling and tracking of high-value goods Repairs Coordination Coordinate jewelry repairs with in-house and third-party jewelers Track timelines and status of ongoing repairs and ensure customer updates are timely Maintain accurate records of service histories, costs, and vendor communication Reconciliation of Payments Use customer accounts payable portals, reports, or remittance advice to assist in matching received payments to consignment sales and sold merchandise Communicate with customer’s accounts payable teams as needed to ensure timely and accurate reconciliation Communicate outstanding balances or payment issues to internal team What We’re Looking For: 1 years of experience in an office environment preferably in inventory control/operations of jewelry or luxury goods Strong organizational skills with acute attention to detail Excellent communication skills and a collaborative, proactive mindset Proficiency with computers (i.e., Google Workspace, Microsoft 365, Inventory/POS systems, Quickbooks, etc) Self motivated and comfortable working in a fast-paced setting with high-value merchandise Associate’s or bachelor’s degree required Jewelry knowledge is a plus, but not a requirement Additional Requirements: A background check , in accordance with local law/regulations, will be required due to the nature of the merchandise handled.
