Job Description Job Description Position Title: Facilities and Fleet Manager General Description: The Facilities and Fleet Manager is responsible for oversight of Prologue's facilities (offices and homes) plus all Prologue owned or leased vehicles. The individual will ensure ongoing maintenance is provided in these areas to promote safe and efficient facilities and fleet services. The manager will provide direct supervision to maintenance personnel and maintain communication with the Lead Driver to coordinate fleet services. The manager will establish and maintain a relationship with vendors to ensure services such as janitorial, snow removal, lawn care, HVAC and other repairs are provided as routine care and in response to emergencies. Knowledge of cleaning products, custodial and maintenance needs and automotive maintenance with expertise in one or more of these fields is necessary. The Manager may serve as the Health and Safety Officer. Required Education, Knowledge and Skill Abilities to Perform Essential Job Functions: A high school education plus five years of related experience. The applicant must possess working knowledge and expertise in maintenance of office settings and automotive maintenance. The position requires considerable independent judgment to make decisions and responsibility for overseeing the work of others. Knowledge of materials and familiarity with cleaning equipment is essential. Knowledge of safe workplace regulations is necessary. Initiative in solving maintenance issues, demonstrating the ability to work as a member of a team with other administrative staff and showing flexibility in adapting to changing job duties is necessary. A valid Maryland driver's license with a good driving record is required. Regular, punctual and consistent attendance is required. Engage in HUD training to increase knowledge of facilities standards and practices will be required. Schedule: Full-time (35- 40 hours per week) and on call as needed. This person reports to the President/CEO. Summary of Essential Functions, Responsibilities and Duties Direct daily maintenance operations to buildings, grounds, and vehicles Direct activities of maintenance personnel Hire and supervise personnel Survey and assess satisfaction with state of facilities and vehicles Maintain maintenance and inspection logs Develop and maintain relationships with vendors for preventative and other repair/maintenance needs. To include fleet repairs, janitorial/cleaning of facilities, pest control, snow removal/lawn care and other areas as needed. Ensure all vehicles have current registration, tags and insurance Communicate with insurer when adding to or removing vehicles from fleet and when accidents occur. Administer service contracts Assist with preparation of maintenance budget Facilitate drills and training to comply with standards for safety Ability to effectively communicate and collaborate with others. Ability to foster a cooperative work environment Ability to schedule, coordinate and supervise repair contractors Ability to work independently on assignments but also recognize potential problems and the need to consult with other staff to address those issues Utilize computer systems to: keep records/data and disseminate information to stakeholders (internal & external), to record, confirm and verify Time & Attendance, to complete annual training, and to monitor staff training and supervision. Develop on-call schedule for maintenance services Respond to calls and assign work for on call workers Work with team to provide maintenance of facilities to ensure healthy and safe work and living environments.
