Job Description
Job Title: Campus Manager Location: Residential School Campus,Pandharpur Reports To: Principal Key Responsibilities: 1. Leadership & Administration: Provide strategic leadership and direction to all departments on campus. Supervise Heads of Departments, Hostel Wardens, Admin, HR, and Support Staff. Ensure smooth coordination between academic and non-academic functions. Represent the campus in management meetings and external forums. 2. Financial Management: Prepare annual budgets in consultation with the Principal and Management. Monitor income and expenditure against the budget. Prepare monthly, quarterly, and annual financial reports. Maintain financial records in compliance with statutory requirements. 3. Fee Management: Manage student fee collection processes. Maintain up-to-date fee records and follow up on defaulters. Issue receipts and manage online/offline payment systems. 4. Procurement & Inventory: Oversee purchasing of school supplies, uniforms, food, and hostel needs. Maintain vendor records and negotiate contracts for goods/services. Ensure inventory control and proper stock management. 5. Hostel & Residential Facility Accounts: Manage accounts related to boarding facilities, mess, laundry, etc. Monitor expenses related to food, maintenance, and housekeeping. 6. Administrative Support: Supervise office staff involved in financial operations. Provide financial insight and support to the management during strategic planning. Maintain confidentiality and security of financial data. 7. Student Welfare & Discipline: Ensure a safe, healthy, and positive environment for all students. Oversee discipline policies and procedures for both academic and residential life. Address and resolve student issues, grievances, and conflicts promptly. 8. Residential Life & Pastoral Care: Supervise hostel operations, food services, medical care, and student activities. Foster a nurturing and inclusive campus culture. Ensure effective pastoral care and emotional well-being support systems. 9. Infrastructure & Operations: Oversee campus facilities, maintenance, safety, cleanliness, and security. Coordinate with the facilities and transport departments for smooth operations. Ensure all infrastructure supports the academic and residential needs of the students and staff. Plan, schedule, and oversee routine and preventive maintenance of buildings, classrooms, hostels, toilets, electrical and plumbing systems, and other infrastructure. Coordinate repairs and renovations as required. Maintain updated logs of maintenance activities and service contracts. 10. Compliance & Communication: Ensure the campus follows all regulatory and safety norms. Serve as the communication bridge between management, staff, students, and parents. Handle crisis management and emergency preparedness planning. 11. Housekeeping & Sanitation: Supervise housekeeping teams to ensure high standards of cleanliness across the campus. Ensure proper waste disposal and sanitation, particularly in hostels, kitchens, and washrooms. Regularly inspect premises to ensure hygiene and safety compliance. 12. Utilities & Equipment Monitoring: Monitor the functioning of water supply, borewells, pumps, generators, electrical panels, sewage treatment plants, and solar systems. Ensure uninterrupted power supply and water availability, including timely fuel purchases for DG sets if needed. Maintain inventory and service records of equipment. 13. Hostel & Campus Support: Support the hostel warden by addressing facility issues related to student accommodations. Ensure functioning of lighting, fans, plumbing, and other amenities in hostels. Conduct regular checks and feedback collection from residential students. 14. Safety & Security Compliance: Ensure that all facilities meet fire safety, electrical safety, and building code standards. Liaise with security teams to ensure proper lighting, fencing, and surveillance systems are in place. Conduct routine safety drills and maintenance of fire-fighting equipment. 15. Vendor & Staff Supervision: Manage facility-related staff including electricians, plumbers, gardeners, and cleaning staff. Liaise with contractors and vendors for AMC, repair, pest control, and supply of materials. Ensure timely service delivery and payment documentation. Required Qualifications and Skills: Bachelor’s or Master’s degree in Commerce, Finance, Accounting, or related field. Minimum 5 years of relevant experience in school. Strong knowledge of accounting principles and financial regulations. Proficiency in financial software and MS Office (especially Excel). Excellent organizational and communication skills. Ability to handle multiple tasks and work under pressure. Desirable Qualities: Experience in a residential school setup. Understanding of school fee structures, hostel operations, and vendor management. Integrity, accuracy, and attention to detail.
