Job Description Job Description Role Summary The Short-Term Expeditor & Operations Administrator bridges short-term production execution with front-office coordination. This role supports the Business Unit Lead in turning forecasts into action by identifying blockers, coordinating cross-functional follow-ups, and maintaining key trackers and documents. The ideal candidate is resourceful, proactive, and capable of juggling administrative responsibilities while engaging in short-term production and scheduling conversations. This is a hands-on role designed for someone with exposure to operations or supply chain who is ready to take ownership of execution tracking. Key Responsibilities Short-Term Forecast & Execution Support - Translate weekly production and shipment forecasts into action checklists (materials, approvals, labor, documents). - Track progress of batch releases and fulfillment timelines using operational dashboards. - Coordinate with Planning, QA, Production, and Warehouse to ensure all inputs are in place to meet weekly targets. - Identify and flag risks early (e.g., material delays, missing COAs, unstaffed lines) and help drive resolution. - Own the short-term “Expedite Board” (e.g., Monday.com or Excel) and ensure it’s accurate and up to date daily. Administrative & Front Office Responsibilities - Prepare and distribute daily/weekly readiness summaries for the Director of Operations and production teams. - Maintain communication logs, follow-up notes, and meeting action items for daily operations standups. Required Skills & Qualifications - 2–3 years experience in operations coordination, supply chain support, or production administration (cosmetics, pharma, or CPG industries a plus). - Comfortable coordinating between multiple departments with urgency and professionalism. - Proficient in Microsoft Excel and collaborative tools like Monday.com, Google Drive, or ERP systems. - Highly organized and capable of managing multiple priorities in a fast-paced environment. - Strong written and verbal communication skills in both English and Spanish.
