Job Summary: The Tour Operations Specialist is responsible for executing and maintaining operational accuracy and vendor management for all tour components within an assigned territory. Handles all aspects of key line items within the operations systems from end to end. This position owns vendor, departure-specific updates and confirmations for the assigned territory and supports secure space and chase bids. Regularly meets with Product Managers, Designers, and Buyers to provide status updates and make relevant changes within the operating systems. The role aligns with the company’s Excellence and Revenue goals. Primary Functions: Build strong relationships with vendors through clear communication to confirm and update tour components, vendor status, and record confirmations within the systems. Attend regional meetings to support operational consistency and identify key operational needs and tour deviations. Coordinate across departments to ensure tour components are accurate and consistent, ensuring overall tour integrity for traveler satisfaction. Communicate with tour managers, buyers, product managers, and designers regarding vendor issues. Support Product Managers in troubleshooting vendor issues raised by Tour Managers. Assist in creating and maintaining tour documents. Support regional team in finding backup options based on vendor denials. Maintain ongoing communication with vendors regarding service status and inquiries. Build non-required line items into systems, including assigning services, creating suppliers, and managing contracts and layout items. Assist with builds and audits of side reservation tour components with high accuracy. Update and maintain tour components in the systems as needed. Support securing tickets for operational elements requiring pre-purchase. Partner with regional team on FAMs and add dates processes. Assist with tour change updates and vendor messaging with accuracy. Knowledge and Skills: Bachelor’s degree preferred or equivalent experience. Experience in scheduling, logistics, supply chain, or inventory systems is a plus. High initiative, analytical thinking, and problem-solving skills required. Ability to plan, organize, and prioritize in a fast-paced environment. Ownership and proactive decision-making skills. Professional, positive approach. Collaborative team player. Flexible to industry changes and knowledgeable about current global events. Effective communication skills across all stakeholders. High technical ability within proprietary systems.
