Job Description
Requirements: Grade 12 Bachelors Degree in Business Administration, Development Studies, Public Administration, or related field Senior Administrative or Executive support role Knowledge of community development, donor relations, and governance frameworks in South Africa Responsibilties: Ensure excellent interaction between the CEO, staff, and clients with regard to appointments (both internal and external clients) and ensure that a detailed briefing document has been sourced from Executive or elsewhere and is printed and in a folder at least one day before a meeting Prepare and review correspondence, reports, minutes, and presentations. Be a stickler for detail with above-average attention to quality Ensure scheduling of regular Executive team meetings and related arrangements for venue, logistics etc. Prepare draft responses on correspondence and queries from internal and external parties, including draft Executive Summaries Route all queries and/or complaints to the responsible persons and follow up to ensure that all queries and complaints have been reseolved Receive, check and collate all Executive reports submitted to the CEO Review all Executive Summaries or reports that are submitted for the CEOs attention are of the expected quality and are on time Scheduling of meetings and appointments, preparing for in-person meetings when needed, including venue identification, venue checks, bookings, details of the venue for meetings etc. Ensure that clients and guests (High Profile) are welcomed appropriately, with all necessary protocols in place Ensure that tea, coffee and refreshments are served as required Ensure the management and co-ordination of the office and support Executive as and when needed, with administrative duties Ensure adherence to due dates and alert the CEO of her own and other team members deadlines Act as public relations officer for relevant own work area, especially when dealing with external client Coordinate communication and engagements with community representatives, partners, donors, and government officials Draft communication pieces including speeches, press releases, and community updates and / or coordinate with the Communications and Stakeholder Management team to do so Coordinate events that are sanctioned by the CEO as well as team building sessions as and when required Capture requisitions on SAP (contractual equipment, catering, buying of equipment, e.g. laptops) Prepare invoices, resolutions and other documents for the CEO signature timeously, as and when needed. Arrange refreshments in the Office of the CEO and guests Ensure that stationery is available Support the CEO in community outreach, including arranging site visits and stakeholder events. Answering, scanning and re-routing of phone calls - decide who should receive the call. Keep a record of such calls and follow up to ensure that issues are resolved. Answer calls and handle enquiries - as far as possible Develop own Individual Development Plan (IDP) reflecting current and future development requirements to drive personal development Identify training, certification and conference opportunities to attend that will add value to your personal development and to your efficiency Liaise with all clients of relevant work areas Escalate any urgent matter to the the CEO Develop and maintain a follow-up plan on all outstanding matters and resolutions
