Duties and Responsibilities: Onboard new clients into Affinity systems Interact with the previous management company and Board Members to ensure all necessary documentation is provided to ensure a smooth onboarding process Interact with association vendors and provide updated information Track progress of the onboarding process in the project management tool Constantly looking for more efficient ways to improve the transition process. Interacts with Director of Association Accounting, General Ledger Accountant, Regional Director, and Association Managers as needed. Responsible for preparing and sending all initial correspondence sent to the new client. Responsible for preparing and sending bi-monthly transition reports for the Board of Directors. Responsible for preparing and sending weekly transition reports for Leadership Team. Maintains accounts receivable ledgers by verifying and posting account transactions. Maintains computer information files in a neat and orderly fashion. Assist upper management in creating efficiencies within the position. Adhere to SLA provided by upper management Reports to the Transition Manager Handle inbound calls and address inquiries. Make outbound calls and respond to voicemails. Assist with providing account statements upon request Document phone calls in the notes section of each owner file. Assist with providing transfer services Assist with navigating the AMS website, filing a dispute, ACC modification, Pay your dues etc. Follow-up with and process applicable letters associated with ARC requests for Portfolio Manager Respond to client e-mails in a timely manner and foster positive client relationships. QUALIFICATIONS To perform this job successfully, the ideal candidate must be able to perform each duty efficiently and with a high standard. The requirements listed below are representative of the knowledge, skill, and/or ability needed. Good written and verbal communication skills. Strong Problem Solving and Analytical Skills Knowledge of MS office (Excel, Word & Outlook) Understanding of VMS Software &/or Click Pay preferred. 2-3 years of prior experience in similar role and responsibilities preferred. EDUCATION and/or EXPERIENCE Bachelor’s degree in Business Administration from an accredited college or university preferred.
