Responsibilities: Provide administrative support to the team. Assist management with fleet, apartments, and team benefit assignments. Attend regular/daily team meetings, including: Preparing and updating PowerPoint presentations for meetings. Taking and distributing meeting minutes, following up on actions. Use the company’s Document Management System (SharePoint) daily, becoming an expert and a point of contact for team assistance. Work with MS Office documents (PowerPoint, Word, Excel) as required. Compile and distribute regular reports. Support team members in MS Office applications. Liaise with subcontractors and other project disciplines as requested. Organize and manage diaries for team members. Arrange internal and external meetings, including visitor registration and security procedures. Coordinate with other Administrators and Team Assistants during the project. Enter purchase requests in SAP. Provide Italian/English translation services for conversations, meeting minutes, etc. Maintain inventory of technical equipment. Ensure administrative processes and data storage comply with local Italian regulations. Prepare and send correspondence to authorities. Perform general administrative tasks such as updating contact lists, setting up conference calls, ordering supplies and refreshments, typing letters, filing, photocopying, and acting as a point of contact for office queries.
